Overview

What Taxpartna does

Taxpartna is an AI-augmented review platform for tax and accounting professionals. You upload the source documents and workpapers for a job, and the platform reads across every source to run a large set of cross-checks and compliance checks — confirming that figures agree across the financial statements, tax return, workpapers, ATO portal reports and supporting documents, and testing the job against detailed tax and compliance rules.

The result is a documented review that shows exactly what was checked, against which sources, and what the platform found — ready to export as a full report for your file. It is an augmented solution, not a replacement for your judgement: every review still requires a human sign-off before it can be exported.

The workflow at a glance

Every job moves through three stages, shown along the top of the screen:

01

Documents

Choose the entity type, upload your source files, and confirm how they’ve been classified.

02

Analyse

The platform works through the classified documents and runs its checks — typically around five minutes.

03

Compile

You review the findings, add notes, sign off, and export the report.

Before you start

You’ll need the source documents for the job. Taxpartna is designed to handle the different ways firms keep their workpapers, so you don’t need to reorganise anything first. It accepts:

  • Indexed PDF workpapers — a folder of individual PDFs (for example, a SharePoint workpaper index).

  • Mixed-format workpapers — a combination of Word, PDF and Excel files, including Excel workbooks with multiple tabs.

  • A single PDF pack — one combined PDF containing everything, as produced by tools such as Active Workpapers or Xero Workpapers.

Everything is drag-and-drop, so you can pull files straight from your file browser into the platform.

Step 1

Start a new review and choose the entity type

From the dashboard, start a New Review. Choose the entity type the review is for. Taxpartna tailors its checks to the entity, so this matters.

New Review

What type of entity is this review for?

Individual
Company
Trust
SMSF

Starting a new review: pick the entity type the job is for — Individual, Company, Trust or SMSF.

Different entity types unlock different checks — for example, a company review looks at Division 7A and franking, while a trust review reads the settled sum from the trust deed.

Step 2

Upload documents and confirm document types

On the Upload Material screen, confirm the entity type at the top, then add your files:

  • Drag your files into the Upload documents area, or use Browse files. You can drop a whole mixed set at once.

  • Taxpartna automatically classifies each file into a document type. Files being processed appear under Waiting for assignment and then drop into the correct bucket.

  • Check the Assign document types panel — it shows how many types are covered and confirms the required types are present.

The Upload Material screen: drop a mixed set of files and Taxpartna classifies each into a document type. Financial Statements and the Income Tax Return are the two required types; everything else is recommended.

Required vs recommended documents

Only two document types are required — Financial Statements and Income Tax Return. Everything else is recommended, and the more you provide, the more checks Taxpartna can complete. The full list is in the reference table at the end of this guide.

For a more complete review we strongly encourage you to upload all the recommended workpaper documents on the list at the link below.

Auto Start Analysis

Above the document tiles you’ll find the Auto Start Analysis toggle. It’s off by default, which means Taxpartna classifies your files and then waits for you to press Start Analysis yourself. Turn it on and the review kicks off automatically the moment automatic classification finishes - you don’t have to come back to this screen to hit Start.

With the toggle on you can leave the page while your files are being processed. Any documents you add before classification completes are still included in the run. It’s the fastest path through a job where every file is recognised automatically and no topics need confirming.

If any document can’t be classified automatically, analysis still pauses so you can confirm its related topics first - Auto Start Analysis never skips that step.

Auto Start Analysis turned on: the Fast Track Armed panel confirms the review will begin automatically as soon as classification completes, so you can leave the page.

Confirm related topics (if not using Auto Start Analysis)

This step is only needed when a document does not auto-classify, or when you wish to manually classify workpaper documents into certain topics.

Most files are recognised automatically and drop straight into the correct tile. Occasionally a file doesn’t match a familiar document type - a portal extract, an unusual schedule, or a workpaper with a non-standard layout. Rather than guess, Taxpartna sets it aside in the Confirm related topics panel at the bottom of the screen and asks you to tell it what the document relates to. You can assign multiple topics to a single document if it covers more than one area.

Topics are not filing labels — they determine which review checks a document is fed into. An untagged document contributes nothing to the analysis, and any check that needed it will report missing evidence. That’s why Start Analysis stays disabled until every unrecognised document carries at least one topic.

How to assign a topic

  • Click + Add topic on the document row. A searchable dropdown opens.

  • Scroll or type in Search topics… to filter. Topics cover all review areas — General Journals, Ica Account, Investments, Losses, Payroll, Profit And Loss, PSI and others.

  • Click the topic you want — it’s applied immediately. The list stays open so you can add more.

  • Apply as many topics as fit. A combined portal extract might carry both Ica Account and Ita Account; a payroll report might carry both Payroll and Payroll Tax. Extra topics cost nothing — under-tagging is the risk, not over-tagging.

  • If nothing genuinely fits, the document probably isn’t needed. Use Remove to take it out of the job rather than forcing an unrelated topic.

Match the topic to what the document contains, not what it’s called. A file named Report_final.pdf holding an integrated client account listing is an Ica Account document, whatever the file name says. Work down the panel until every row carries at least one chip, then Start Analysis becomes available.

The Confirm related topics panel: documents that didn’t match a standard type appear here. Use the searchable dropdown to assign at least one review topic before starting the analysis.

Step 3

Review the output

When analysis finishes you land on the review screen. The header confirms the entity and year and the number of checks run — for example, “Company return · FY 2025 · 36 cross-checks · 18 compliance checks”.

Understanding the statuses

Every cross-check and compliance check carries one of five statuses. They give you an at-a-glance sense of where the job stands and where to focus your attention before signing off.

DiscrepancyThe figure or fact does not reconcile across its sources — the values conflict and the item needs your attention.
Review SuggestedSomething is worth a closer manual look. Not necessarily wrong, but flagged for your judgement.
AgreedThe figure or fact was checked across every source it appears in and reconciles cleanly.
Single SourceThe item appears in only one source, so it could not be independently cross-verified against another.
Not ApplicableThe check does not apply to this entity or return, so no result is expected.

The Big Picture

Start here for scale and context. The Big Picture shows headline metrics — Total Revenue, Accounting Profit, Taxable Income and Tax Payable — with prior vs current figures and the percentage movement. Below that, the top movers are shown graphically and numerically, followed by a short written summary of the entity’s performance for the year.

The Big Picture — headline metrics (prior vs current) and the year’s biggest movers, with a written summary.

Cross-checks

Cross-checks confirm that a fact or figure agrees across every source it appears in. They fall into two groups: entity identity checks (company name, directors, shareholders, public officer, paid-up capital…) and tax & accounting checks (revenue, wages and super, contractors, motor vehicle costs, non-deductibles, tax payable, dividends, franking…).

You can expand the detail by clicking on each cross-check item to see what is checked and found. When expanded, some cross-checks will have an additional Reconciliation calculations button that you can click to further expand the detail and determine exactly what calculations were performed, if applicable. This is relevant, for example, at various revenue-item cross-checks.

Each check carries a status and a plain-English narration citing where each figure was found. You can view checks two ways:

  • Grouped by status (the default) — quickly see anything that isn’t a clean match.

  • Story mode (non-grouped) — checks appear in a deliberate sequence that builds the story of the entity: who the parties are, what the business does, and where the risks sit. Useful on a first review.

Discrepancy

Statuses include Agreed, Single Source, Not Applicable, Review Suggested and Discrepancy. On a clean job everything is agreed; where issues exist, they light up clearly.

Compliance checks

These are the deeper tests. Rather than just comparing figures, they independently rebuild and interrogate the job. Examples include:

Tax reconciliation— a full independent rebuild, checking your arithmetic and the final tax expense.
Franking account— an independent recalculation reconciled to your workpaper (within a small tolerance).
Division 7A— identifies related-party debit loans (including negative liabilities) and checks for the presence of repayment and loan documentation.
PSI— confirms any Personal Services Income exposure is tested and correctly disclosed.
Payroll tax— checks the entity against the relevant state threshold, including contractors.

Excess franking credits, base-rate entity status, general journals review, tax planning alignment — plus a basic AML/KYC check covering sanctions, high-risk industries, adverse media and unexplained related-party movements.

Compliance checks are summarised by status — Discrepancy, Review Suggested, Agreed and Not Applicable — with a count against the total. Open any check to see the supporting evidence, source references and the reasoning behind the result.

Source Hints

Every figure in the review carries a small magnifier icon. Click it and the original source document opens at the exact page, with the figure and its surrounding text highlighted. The extracted source text is shown at the bottom so you can see precisely what was read.

This works across all document types — ATO portal reports, workpapers, financial statements and everything else uploaded to the job. If a cross-check or compliance check cites a number, you can trace it back to the page it came from in one click, with no hunting and no re-keying.

Source Hint magnifiers appear beside every extracted figure - click one to see exactly where the number was found in the uploaded documents.

The expanded view: clicking a magnifier opens the source document at the exact page and line the figure was extracted from.

Adding review note comments

Every cross-check and compliance check item has a comment icon. Click it to open a comment thread where you can leave notes - for example, flagging an issue for a team member to follow up on, recording a conversation with the client, or noting why a particular discrepancy is acceptable.

All comments are collected as review notes and included in the final exported report, so nothing is lost between the review and the sign-off.

Click the comment icon on any check item to open the thread. Notes left here are included in the final exported report.

Step 4

Sign off and export

Because Taxpartna is an augmented tool, you must sign off before you can export. A counter at the bottom of the screen tracks progress. Sign off each section — Sign off cross-checks, sign off compliance checks, or use Sign off all to clear them together.

Sign-offs 0/11 — complete all to export
ExportWordPDFAML/KYC report

Compliance checks grouped by status. Sign off each section (or all at once) to unlock export — Word, PDF and a separate AML/KYC report.

Once all sign-offs are complete, export the report — Word, PDF, and a separate AML/KYC report in Word or PDF. The exported report is a thorough record of the review: every check, source document, figure and review note. It’s designed to stand up to CPA, CA or Tax Practitioners Board quality-assurance and supervisory review, giving you far more documented evidence of what was checked than a typical file.

Data security and housekeeping

A purge function lets you delete all data and uploaded documents for a review. An automatic purge can be configured so everything is removed after a set period, and access is protected with multi-factor login.

Tips for the best results

01

Include the workpapers you already prepare. Taxpartna checks your work against your own tax reconciliation, franking, Div 7A, PSI and payroll workpapers — the more you supply, the more it can verify.

02

Add your tax planning document. If you do pre-year-end tax planning, include it — the platform checks whether the recommendations (wages, super, Div 7A, write-offs) were actually implemented.

03

Don’t over-stuff a single bucket. Let the classification step do its job; well-classified documents give more accurate checks.

04

Confirm the required types before starting. Financial Statements and the Income Tax Return are the minimum for a meaningful review.

05

Use story mode on first review, status view on clean-up. Build the picture first, then work the exceptions.
